Everything that exists. And what does not yet.
Every building block is listed with its status: in the product (built, wired, tested), preview (built, not yet shipped) or roadmap (planned). So you know before the demo what you will see in it. A data model alone does not count as a feature for us.1
The small numbers are sources: tap one to see the exact product statement, all of them are listed at the bottom.
- 43building blocks in the flywheel
- 35In the product
- 2Preview
- 6Roadmap
From attracting to lifelong learning.
The stations in flywheel order. The number is the clockwise position.
01 Attract
Campaigns and prospects moving from new → qualified → nurturing → applied. The data model exists; workflows and screens are roadmap.2
- Campaigns and prospects
- Hand-over to application
02 Apply
The application with its documents: the checklist comes from the programme, documents as PDF up to 15 MB with verification status, every change in the history. A self-service applicant portal is roadmap; today the registry captures applications.3
- Checklist per programme
- Upload and verification of documents
- Self-service applicant portal: roadmap
03 Admit
A status machine leads from review to offer: review only starts once all required documents are in; a decision only once all are verified. Accepting creates the person, the fees and the receivable in S/4HANA – exactly once.4
- Status machine with document gates
- Offer letter
- Acceptance creates record, fees and S/4 receivable
- Ranking and quotas: roadmap
04 Enrol
The study object as in SLcM: re-registration each session, programme change, dual degrees, leave of absence and de-registration as a status per programme. The largest open item – roadmap.5
- Study object per person and programme
- Re-registration gated on fees and holds
05 Book
Module booking checks seven rules at once and shows every reason together: registration window, prerequisites, attempts, holds, credit limit, timetable clash, capacity. When it is full you get a waitlist offer instead of a no.6
- Seven checks, every reason at once
- Waitlist moves up automatically on cancellation
- Registry override – logged
06 Teach
Record and analyse attendance, office hours, timetable – and synchronise with the learning management system: rosters out, grades back.7
- Attendance with statistics
- Two-way LMS sync
- LMS connection test
07 Assess
Grades as draft, submitted, ratified, published – with distinct roles for teachers and registry. Exam registration, exam scheduling and configurable grade scales are roadmap.8
- Grade lifecycle
- Import grades from the LMS
- Exam scheduling: roadmap
08 Progress
The degree audit shows per requirement: met, in progress, open – and what is still missing. Study plan, what-if and recognition are built as rules and not yet wired in.9
- Degree audit per person
- What-if: built, wiring roadmap
09 Graduate
Transcript from published grades, graduation record with hold check. Certificate PDF, gap-free numbering and conferral with approval are roadmap.10
- Transcript
- Certificate PDF and gap-free numbers: roadmap
10 Prove
Signed documents with a public verification address: employers, universities and authorities check for themselves whether a credential is genuine.11
- Verifiable without asking
- W3C verifiable credentials: roadmap
11 Alumni
Alumni profiles with consents that are off by default, groups and events. The model exists; automatic creation on graduation is roadmap.2
- Consents off by default
- Groups and events
12 Keep learning
Continuing education, recertification, the next programme: alumni become participants again – and the flywheel turns another round. Roadmap for cross-programme workflows.
- Recertification with deadlines
- Next programme from the record
What every station uses.
Catalogue, rules, permissions, money, communications, signatures, interfaces and audit trail – built once, used everywhere.
Catalogue
Organisational units, programmes, module groups, modules with prerequisites and assessment components, teaching events and the academic calendar – time-dependent: a change supersedes the old version instead of overwriting it. Curriculum changes go through request and review.12
- Time slices with valid-from and valid-to
- Curriculum change request with review and diff
- Create modules with prerequisites
- Maintenance screens for programmes and organisation: roadmap
Rules
Academic rules are a separate, pure layer: booking checks, grading, degree audit, progression, fees, aid, deadlines. Every rule has tests; the layer must reach at least 90 % coverage.13
- 73 rule modules, separated from database and UI
- Test coverage at least 90 %
- Customer specifics via feature toggles, never via special code
Roles & rights
Four roles – owner, admin, back office, member – refined by organisational unit, programme and capability (view or edit). The database filters, not the user interface.14
- Row filters per organisational unit and programme
- Read and write separated
- Own record only for the person themselves
Billing
Contract accounts, items for tuition and fees by programme, period and residency, payments, overdue items – and everything SAP must post, via the outbox to S/4HANA. Dunning, instalments and refunds: roadmap.15
- Fee schedule per programme and period
- Overdue items flagged automatically
- Dunning and instalments: roadmap
Aid
Aid packages with offer, response and withdrawal; scholarships with recommended → approved → disbursed or rescinded, minimum and maximum per award.15
- Aid packages with items
- Scholarship lifecycle
- Disbursement via the S/4 outbox
Advising
Assign advisors, maintain office hours without overlaps, assess risk per person or cohort. A dedicated advising screen is roadmap; today via the interface.16
- Advisor ↔ student assignment
- Office hours with overlap check
Communication
Templates per language, audiences, delivery with retries per recipient, own mail server per tenant, a log of every delivery.17
- Templates in German and English
- Delivery with retries and metrics
- SMTP per tenant, password in the Credential Store
Signature
Documents are signed with Ed25519 and kept in a register. Whoever receives a document verifies it at a public address – without calling the registry.11
- Ed25519 signature
- Public verification address per document
- W3C verifiable credential envelope: roadmap
API & webhooks
OData V4 for Fiori, a REST interface with API keys (stored as hashes only), webhooks with HMAC signatures and protection against misuse of internal addresses, synchronisation with the learning management system.18
- REST /api/v1 with API keys
- Webhooks with HMAC and SSRF guard
- LMS: rosters out, grades back
- OneRoster, Ed-Fi, SCIM server: roadmap
Audit trail
Who changed what, and when? Append-only admission history, audit log for payments, invitations and interfaces, one correlation ID through every request.19
- Append-only history
- Correlation ID in every log line
The AI proposes. People decide.
Early warning with reasons instead of a black box – and a briefing that is written even without an AI provider.
Early warning
A risk score per person or cohort from five weighted factors – each with a reason. No black box: you see why.20
- Five factors with reasons
- Single person or whole cohort
Briefing
A language model turns the risk score into a short briefing for advisors. If the provider is unavailable, the rule layer writes the briefing – the score never depends on AI.20
- Provider-independent AI interface
- Fallback without AI
Deadline watch
Payment, registration and document deadlines send staged reminders – exactly once per deadline and stage. Scheduling via SAP BTP Job Scheduling is roadmap; today the run is triggered.17
- Staged reminders
- Never twice
Assistant
An assistant that answers questions about the record and prepares steps – with human approval, audit trail and a cost cap per tenant. Roadmap.
- Propose, not decide
- Cost cap per tenant
Built on SAP. Posted in SAP.
What AcademyTailor uses from SAP and where it posts. More on the page for SAP customers.
S/4HANA FI-CA
Tuition is posted as receivables in SAP S/4HANA contract accounting – through an outbox that never blocks the application: if S/4 is down, the posting waits and is delivered later.21
- Receivables, payment status, disbursements
- Outbox with up to 20 attempts and staggered back-off
- Circuit breaker per tenant during outages
- Connected via destination and Cloud Connector
S/4HANA FI-AR
For institutions without contract accounting: the same receivables in SAP S/4HANA accounts receivable. Configuration per tenant decides which route applies.21
- Same posting logic as FI-CA
- Test mode with a simulation adapter, no S/4 system needed
Business partner
Whoever is admitted becomes a business partner in SAP S/4HANA – created through the same outbox as the receivables.21
- Created from admission
- Matched via unique references
SAP BTP
AcademyTailor runs on SAP Business Technology Platform: SAP Cloud Application Programming Model with Node.js and TypeScript, OData V4, Cloud Foundry – beside the core, not inside it.22
- SAP CAP, OData V4, TypeScript
- Multi-tenant with SAP MTX
- Shipped as an MTA, per-tenant upgrades before start
- Clean core: no modification of the ERP
HANA Cloud
Each tenant gets its own HDI container in SAP HANA Cloud. No tenant column in the tables – separation lives in the database.22
- One HDI container per tenant
- All containers upgraded before a new version starts
IAS & AMS
Sign-in via SAP Cloud Identity Services, permissions via the Authorization Management Service: roles and responsibilities come as policies, not code. XSUAA remains as a fallback for institutions without IAS.14
- Roles assignable by policy
- Scope per organisational unit and programme
- XSUAA as fallback
SAP Fiori
The user interface is moving to SAP Fiori elements: one app, standard floorplans first. Today students, teachers and registry work in a portal with eight areas; the Fiori app runs locally and ships once it covers the portal’s scope.23
- Today: portal with booking, timetable, finances, progress, teaching, registry, administration, admissions
- German and English on every screen
- Fiori elements as target, one app instead of many tiles
Success-Factors
For corporate academies: connection to SAP SuccessFactors Learning so learning history, certificates and employee master data line up. Roadmap – scope per project.
- Employee master as source of participants
- Certificates back into the learning history
Cloud Connector
S/4HANA in your own data centre or in RISE: the connection runs through BTP destinations and the SAP Cloud Connector. Credentials live in the Credential Store, never in a table.21
- Destinations per tenant
- Connection test with four error categories
- Secrets in the Credential Store
What is still missing today.
Measured against SAP Student Lifecycle Management, these are the largest open items – in the order customers ask about them.
- Study object and re-registrationStatus per person and programme, re-registration each term, programme change, dual degrees, leave, de-registration. Today a person carries one programme.5
- Exam schedulingExam registration, rooms and slots without clashes, examiner assignment, configurable grade scales.
- Notices and certificates as documentsTemplate, PDF, archive, proof of delivery and gap-free numbering – the signature for it is already there.
- Dunning and instalmentsReceivables go to S/4HANA; dunning levels, instalment plans and refunds are still missing in AcademyTailor.
- Statutory statisticsReports to statistics authorities – a must for public universities.
- Shipping the Fiori appThe SAP Fiori elements app runs locally and ships once it covers the scope of today’s portal.

Questions about the features.
- What does “In the product” mean?
- Built, wired and covered by service tests. A data model alone does not count as a feature for us.
- What does “Preview” mean?
- Built but not yet shipped – such as the SAP Fiori elements app that runs locally today.
- What does “Roadmap” mean?
- Planned. Some roadmap items already have a data model or tested rules but no wired workflow yet. In that case the description says exactly that.
- Which gaps to SAP Student Lifecycle Management are largest?
- The study object with re-registration, programme change and de-registration, exam scheduling, official notices as documents, statutory statistics and dunning. These items are roadmap and labelled as such on this page.
- How current is this page?
- The statements follow the measured state of the product (release state 30 Sep 2026). We reconcile status and sources with every release.
