Campus and academy management on SAP BTP · for universities and corporate academies

One lifecycle, not ten silos. On SAP.

AcademyTailor takes every person through the whole lifecycle – from application through module booking, assessment and degree audit to a verifiable credential. In one record, on SAP BTP, with tuition posted as a receivable in SAP S/4HANA. Beside the core, not inside it.

MOMENTUM.

A flywheel needs force at the start – after that it carries itself. Whoever is well attracted, supported and credentialed comes back as alumni and lifelong learner. And the yellow markers on this page? Behind each one is a source – product, SAP or vendor, with the date checked.

Give it a spin
At a glance

AcademyTailor is multi-tenant campus and academy management on SAP BTP, made by CloudDNA GmbH in Austria. It maps the lifecycle of students and participants in twelve stations – from attracting and applying to proving and lifelong learning –, checks module bookings against seven rules at once, runs the degree audit and posts tuition through an outbox to SAP S/4HANA. For universities, corporate academies and continuing education that run on SAP.

The flywheel

Twelve stations. One turn. Then the next.

The lifecycle runs clockwise – and at the end it does not go into the archive but back to the beginning: whoever graduates today books continuing education tomorrow. Every station carries its status. Dashed in the graphic, “roadmap” in the list: that is what we are still building.

  1. 01AttractRoadmap

Campaigns and prospects moving from new → qualified → nurturing → applied. The data model exists; workflows and screens are roadmap.

  2. 02ApplyIn the product

The application with its documents: the checklist comes from the programme, documents as PDF up to 15 MB with verification status, every change in the history. A self-service applicant portal is roadmap; today the registry captures applications.

  3. 03AdmitIn the product

A status machine leads from review to offer: review only starts once all required documents are in; a decision only once all are verified. Accepting creates the person, the fees and the receivable in S/4HANA – exactly once.

  4. 04EnrolRoadmap

The study object as in SLcM: re-registration each session, programme change, dual degrees, leave of absence and de-registration as a status per programme. The largest open item – roadmap.

  5. 05BookIn the product

Module booking checks seven rules at once and shows every reason together: registration window, prerequisites, attempts, holds, credit limit, timetable clash, capacity. When it is full you get a waitlist offer instead of a no.

  6. 06TeachIn the product

Record and analyse attendance, office hours, timetable – and synchronise with the learning management system: rosters out, grades back.

  7. 07AssessIn the product

Grades as draft, submitted, ratified, published – with distinct roles for teachers and registry. Exam registration, exam scheduling and configurable grade scales are roadmap.

  8. 08ProgressIn the product

The degree audit shows per requirement: met, in progress, open – and what is still missing. Study plan, what-if and recognition are built as rules and not yet wired in.

  9. 09GraduatePreview

Transcript from published grades, graduation record with hold check. Certificate PDF, gap-free numbering and conferral with approval are roadmap.

  10. 10ProveIn the product

Signed documents with a public verification address: employers, universities and authorities check for themselves whether a credential is genuine.

  11. 11AlumniRoadmap

Alumni profiles with consents that are off by default, groups and events. The model exists; automatic creation on graduation is roadmap.

  12. 12Keep learningRoadmap

Continuing education, recertification, the next programme: alumni become participants again – and the flywheel turns another round. Roadmap for cross-programme workflows.

For SAP customers

Your SAP stays clean. Your campus becomes modern.

AcademyTailor runs where SAP wants its extensions to live: on SAP BTP, beside the core. Your S/4HANA receives receivables and business partners – and not a single modification.

01 · Money

Receivables in S/4HANA

Tuition, payment status and scholarships go through an outbox with retries and a circuit breaker into contract accounting or accounts receivable. A user action never waits for SAP.

02 · Operations

BTP, MTX, HANA Cloud

SAP Cloud Application Programming Model, OData V4, one HDI container per tenant. Upgrades run for all tenants before the new version starts.

03 · Access

IAS, AMS, roles

Sign-in via SAP Cloud Identity Services, permissions per organisational unit and programme as policies. The database filters, not the user interface.

The deadline everyone is talking about

  • For SAP ERP 6.0, mainstream maintenance ends at the end of 2027, optionally extended to the end of 2030. SAP S/4HANA has an innovation commitment until the end of 2040.
  • SAP offers Student Lifecycle Management today for SAP S/4HANA Cloud Private Edition. That is one route – AcademyTailor on SAP BTP is the other.
  • Which one fits? That depends on your SAP strategy, scope and timeline. Both routes side by side →
Flows

Seven paths through the layers.

Like the flows on every Tailor website: each runs as a line through the layers – from the people via the lifecycle and services to SAP and the record at the centre. And every stage tells you how it often works today.

Who it’s for

Three kinds of institution, one lifecycle.

Universities

Universities, universities of applied sciences, private universities

Admission with documents, module booking with waitlist, assessment, degree audit, fees in SAP – and a route beyond SAP ERP 6.0.

Corporate academies

Internal training with certificates

Programmes, booking, attendance, assessment and a signed certificate – on the same SAP platform as the rest of the company.

Continuing education

Training providers and universities with continuing education

Many cohorts, many fees, many credentials – and alumni who come back as lifelong learners. That is the flywheel.

The challenger

Newly built. On SAP.

Many campus systems have grown over decades, many SAP solutions live inside the ERP core. AcademyTailor is newly built – on SAP BTP, multi-tenant, posting to S/4HANA. The numbers show what that means in the market, calculated from the same table as the whole comparison.

  • 5of 6 features stated for AcademyTailor
  • 4of 6 – highest value among the other 21 solutions per their websites
  • 10of 15 axis pairs: AcademyTailor top right
  • 132individual statements, each with source, as of 19 Oct 2026

Counted from the comparison table: “stated” means explicitly described on the vendor’s website; what a vendor does not state may still exist. AcademyTailor: measured state.

The ambition

We want to become number one. Worldwide.

That sounds arrogant. We write it down anyway – as a goal, not as a claim. Today we are the challenger: new to the market, without a long reference list, with parts on the roadmap that we show openly. What entitles us to the ambition is how it is built: on SAP, multi-tenant, tested, honestly labelled. The sky is the limit.

To be honest

When you should not choose AcademyTailor today.

We would rather sell nothing than the wrong thing.

  • You need re-registration, leave of absence and programme change from day one.The study object modelled on SLcM is our largest open item. Until it is in place, SLcM on S/4HANA or your existing system is the safer choice for that.
  • You must schedule exams next term and file statutory statistics.Exam scheduling and statutory reporting are roadmap. An established campus management system such as HISinOne or CAMPUSonline is built for that today.
  • You have no SAP and do not want any.AcademyTailor plays to its strengths on SAP. Without SAP, pure SaaS systems or a campus management system from your region are often a closer fit.
  • You are only looking for a learning management system for course content. That is what SAP SuccessFactors Learning, Docebo or Cornerstone are built for. AcademyTailor keeps the record and syncs with the LMS – it does not replace it.
How it came about

From SAP training to SAP software.

For years we taught SAP, wrote SAP books and integrated SAP systems. Along the way we saw registration, exams and certificates fall apart between Excel lists and SAP GUI transactions. With AcademyTailor we are building what we wished for back then – on the platform SAP customers already have.

  • Who builds itCloudDNA GmbH from southern Burgenland, Austria, with founder Martin Koch – former pilot and air traffic controller, author of sixteen SAP PRESS books, SAP Champion – and a team of 24 people.
  • What is behind itMany years of SAP Basis, BTP and integration work, plus a family of industry software on a shared foundation.
  • How we workBy CloudDNA’s motto: “Wir bauen das” – we build it. First understand the landscape, then plan the route in stages, then deliver together.
The Tailor family

Twelve siblings – each for its own craft.

Every Tailor shares the basics with its siblings: the same security core, the same GDPR compliance, the same EU data residency, the same AI layer. But the language is different. ImmoTailor talks about stairwells and units, TaxTailor about firm workflows – and AcademyTailor about module booking, degree audit and contract accounting.

Frequently asked

Short answers.

What is AcademyTailor?
AcademyTailor is multi-tenant campus and academy management on SAP BTP. It keeps application, admission, module booking, teaching, assessment, degree audit and verifiable credentials in one record and posts tuition as receivables to SAP S/4HANA. It is made by CloudDNA GmbH from Austria.
Is AcademyTailor a successor to SAP Student Lifecycle Management?
AcademyTailor follows the process areas of SAP Student Lifecycle Management and is built as an alternative on SAP BTP – beside the ERP core rather than inside it. SAP itself continues to offer SLcM for SAP S/4HANA Cloud Private Edition. Which route suits an institution depends on its SAP strategy, scope and timeline; parts of the SLcM scope are still roadmap at AcademyTailor and labelled as such.
Who is AcademyTailor for?
For universities, private universities and universities of applied sciences, for corporate academies running internal training with certification, and for continuing-education providers – above all where SAP S/4HANA or SAP ERP is already in use.
How is AcademyTailor operated?
As a multi-tenant application on SAP BTP Cloud Foundry built with the SAP Cloud Application Programming Model. Each tenant gets its own HDI container in SAP HANA Cloud; sign-in runs through SAP Cloud Identity Services.
How does the money get to SAP S/4HANA?
Through an outbox: receivables, payment status, business partners and disbursements go via destination and Cloud Connector to SAP S/4HANA – into contract accounting (FI-CA) or accounts receivable (FI-AR). If S/4 is down, the posting waits and is delivered later.
What does the flywheel mean?
The flywheel is the lifecycle as a loop: attract, apply, admit, enrol, book, teach, assess, progress, graduate, prove, alumni, keep learning. Every turn feeds the next with data, credentials and people – alumni come back as lifelong learners.
What is in the product today and what is roadmap?
Every station and building block carries a status. In the product today are, among others, application, admission, module booking with seven checks, teaching with LMS sync, assessment, degree audit, signed credentials and posting to S/4HANA. Roadmap includes the study object with re-registration, exam scheduling, the certificate PDF and the SuccessFactors connection. The features page lists everything.
How does AcademyTailor differ from other systems?
The comparison on this website sets 21 solutions against six features – each based on the vendors’ public statements. AcademyTailor states five of the six features explicitly; continuing education and academy is partly covered today.
What does AcademyTailor cost?
Pricing depends on the number of students or participants and on scope and is quoted after the intro call. There are no public list prices at present.
Is the website available in German?
Yes. Every page exists in English and German; the switch is in the header of every page.
