# AcademyTailor > AcademyTailor is multi-tenant campus and academy management on SAP BTP: application, admission, module booking, appraisal, degree audit and verifiable credentials in one record – with tuition posted to SAP S/4HANA. For universities, corporate academies and continuing education. Key facts (as of 2026-10-19, product: release state 30 Sep 2026): - Provider: CloudDNA GmbH, Loipersdorf, Austria – a Tailor by CloudDNA (Tailor family). Bilingual website: English at https://www.academytailor.com/en, German at https://www.academytailor.com/. - Platform: SAP BTP (SAP Cloud Application Programming Model, Node.js/TypeScript, OData V4), multi-tenancy with SAP MTX and one HDI container per tenant in SAP HANA Cloud, sign-in via SAP Cloud Identity Services (IAS) with the Authorization Management Service (AMS). - SAP integration: receivables, payment status, business partners and disbursements via an outbox to SAP S/4HANA (FI-CA or FI-AR) through destinations and the Cloud Connector. Clean core: no modification of the ERP. - User interface: today a portal with eight areas in German and English; SAP Fiori elements is in preview. - Honest status labels: “In the product” = built, wired and covered by service tests; “Preview” = built, not yet shipped; “Roadmap” = planned. - SAP context: mainstream maintenance for SAP ERP 6.0 until end of 2027, optional until end of 2030 (SAP); SAP Student Lifecycle Management is offered for SAP S/4HANA Cloud Private Edition. - Ambition: AcademyTailor aims to become number one in student lifecycle management for SAP customers worldwide – stated as a goal, not as a claim. Today AcademyTailor is the challenger. - Pricing: on request. ## The twelve lifecycle stations (flywheel) - 01 Attract (Roadmap): Campaigns and prospects moving from new → qualified → nurturing → applied. The data model exists; workflows and screens are roadmap. - 02 Apply (In the product): The application with its documents: the checklist comes from the programme, documents as PDF up to 15 MB with verification status, every change in the history. A self-service applicant portal is roadmap; today the registry captures applications. - 03 Admit (In the product): A status machine leads from review to offer: review only starts once all required documents are in; a decision only once all are verified. Accepting creates the person, the fees and the receivable in S/4HANA – exactly once. - 04 Enrol (Roadmap): The study object as in SLcM: re-registration each session, programme change, dual degrees, leave of absence and de-registration as a status per programme. The largest open item – roadmap. - 05 Book (In the product): Module booking checks seven rules at once and shows every reason together: registration window, prerequisites, attempts, holds, credit limit, timetable clash, capacity. When it is full you get a waitlist offer instead of a no. - 06 Teach (In the product): Record and analyse attendance, office hours, timetable – and synchronise with the learning management system: rosters out, grades back. - 07 Assess (In the product): Grades as draft, submitted, ratified, published – with distinct roles for teachers and registry. Exam registration, exam scheduling and configurable grade scales are roadmap. - 08 Progress (In the product): The degree audit shows per requirement: met, in progress, open – and what is still missing. Study plan, what-if and recognition are built as rules and not yet wired in. - 09 Graduate (Preview): Transcript from published grades, graduation record with hold check. Certificate PDF, gap-free numbering and conferral with approval are roadmap. - 10 Prove (In the product): Signed documents with a public verification address: employers, universities and authorities check for themselves whether a credential is genuine. - 11 Alumni (Roadmap): Alumni profiles with consents that are off by default, groups and events. The model exists; automatic creation on graduation is roadmap. - 12 Keep learning (Roadmap): Continuing education, recertification, the next programme: alumni become participants again – and the flywheel turns another round. Roadmap for cross-programme workflows. ## SAP foundation, campus services, assistance & AI - S/4HANA FI-CA – SAP foundation (In the product): Tuition is posted as receivables in SAP S/4HANA contract accounting – through an outbox that never blocks the application: if S/4 is down, the posting waits and is delivered later. - S/4HANA FI-AR – SAP foundation (In the product): For institutions without contract accounting: the same receivables in SAP S/4HANA accounts receivable. Configuration per tenant decides which route applies. - Business partner – SAP foundation (In the product): Whoever is admitted becomes a business partner in SAP S/4HANA – created through the same outbox as the receivables. - SAP BTP – SAP foundation (In the product): AcademyTailor runs on SAP Business Technology Platform: SAP Cloud Application Programming Model with Node.js and TypeScript, OData V4, Cloud Foundry – beside the core, not inside it. - HANA Cloud – SAP foundation (In the product): Each tenant gets its own HDI container in SAP HANA Cloud. No tenant column in the tables – separation lives in the database. - IAS & AMS – SAP foundation (In the product): Sign-in via SAP Cloud Identity Services, permissions via the Authorization Management Service: roles and responsibilities come as policies, not code. XSUAA remains as a fallback for institutions without IAS. - SAP Fiori – SAP foundation (Preview): The user interface is moving to SAP Fiori elements: one app, standard floorplans first. Today students, teachers and registry work in a portal with eight areas; the Fiori app runs locally and ships once it covers the portal’s scope. - Success-Factors – SAP foundation (Roadmap): For corporate academies: connection to SAP SuccessFactors Learning so learning history, certificates and employee master data line up. Roadmap – scope per project. - Cloud Connector – SAP foundation (In the product): S/4HANA in your own data centre or in RISE: the connection runs through BTP destinations and the SAP Cloud Connector. Credentials live in the Credential Store, never in a table. - Catalogue – Campus services (In the product): Organisational units, programmes, module groups, modules with prerequisites and assessment components, teaching events and the academic calendar – time-dependent: a change supersedes the old version instead of overwriting it. Curriculum changes go through request and review. - Rules – Campus services (In the product): Academic rules are a separate, pure layer: booking checks, grading, degree audit, progression, fees, aid, deadlines. Every rule has tests; the layer must reach at least 90 % coverage. - Roles & rights – Campus services (In the product): Four roles – owner, admin, back office, member – refined by organisational unit, programme and capability (view or edit). The database filters, not the user interface. - Billing – Campus services (In the product): Contract accounts, items for tuition and fees by programme, period and residency, payments, overdue items – and everything SAP must post, via the outbox to S/4HANA. Dunning, instalments and refunds: roadmap. - Aid – Campus services (In the product): Aid packages with offer, response and withdrawal; scholarships with recommended → approved → disbursed or rescinded, minimum and maximum per award. - Advising – Campus services (In the product): Assign advisors, maintain office hours without overlaps, assess risk per person or cohort. A dedicated advising screen is roadmap; today via the interface. - Communication – Campus services (In the product): Templates per language, audiences, delivery with retries per recipient, own mail server per tenant, a log of every delivery. - Signature – Campus services (In the product): Documents are signed with Ed25519 and kept in a register. Whoever receives a document verifies it at a public address – without calling the registry. - API & webhooks – Campus services (In the product): OData V4 for Fiori, a REST interface with API keys (stored as hashes only), webhooks with HMAC signatures and protection against misuse of internal addresses, synchronisation with the learning management system. - Audit trail – Campus services (In the product): Who changed what, and when? Append-only admission history, audit log for payments, invitations and interfaces, one correlation ID through every request. - Early warning – Assistance & AI (In the product): A risk score per person or cohort from five weighted factors – each with a reason. No black box: you see why. - Briefing – Assistance & AI (In the product): A language model turns the risk score into a short briefing for advisors. If the provider is unavailable, the rule layer writes the briefing – the score never depends on AI. - Deadline watch – Assistance & AI (In the product): Payment, registration and document deadlines send staged reminders – exactly once per deadline and stage. Scheduling via SAP BTP Job Scheduling is roadmap; today the run is triggered. - Assistant – Assistance & AI (Roadmap): An assistant that answers questions about the record and prepares steps – with human approval, audit trail and a cost cap per tenant. Roadmap. ## Flows - The flywheel: one turn of the lifecycle (everyone): Twelve stations from first enquiry to the next programme – in one record, on SAP. https://www.academytailor.com/en/flywheel#ablauf-zyklus - From application to receivable in S/4HANA (registry and finance): An application becomes a record, fees and a receivable in SAP contract accounting – without double entry. https://www.academytailor.com/en/flywheel#ablauf-zulassung - Module booking with seven checks (students and registry): From booking to the grade in progress – with all rules at once and the LMS in sync. https://www.academytailor.com/en/flywheel#ablauf-buchung - From degree audit to verifiable credential (registry, graduates, employers): Whoever finishes gets a credential anyone can verify. https://www.academytailor.com/en/flywheel#ablauf-nachweis - Corporate academy: from catalogue to certificate (learning & development and business units): Internal training with assessment and certificate – on the same SAP platform as the rest of the company. https://www.academytailor.com/en/flywheel#ablauf-akademie - Early warning instead of drop-out (teachers, advisors, leadership): Missing attendance and weak grades become an explained risk – and an appointment in office hours. https://www.academytailor.com/en/flywheel#ablauf-fruehwarnung - Fees, payments, scholarships (finance and registry): Fees originate in the record, posting happens in SAP – scholarships and deadlines included. https://www.academytailor.com/en/flywheel#ablauf-geld ## Comparison (as of 19 Oct 2026) 21 solutions in four segments (SAP ecosystem, International higher-ed SIS, Campus management DACH, Academy & training), six features: SAP S/4HANA integrated, Cloud subscription (SaaS), Application and admission, Studies and assessment, Continuing education and academy, Digital credentials. Table with sources: https://www.academytailor.com/en/comparison ## Glossary - Student Lifecycle Management (SLcM): SAP Student Lifecycle Management is SAP’s student administration solution for higher education, technically the component IS-HER-CM (Campus Management). It runs inside the SAP ERP system and builds on the SAP HR object model. SAP currently offers it for SAP S/4HANA Cloud Private Edition. - Student information system (SIS): Software that manages application, admission, student records, course registration, exams, graduation and fees of an educational institution. In German it is usually called Campus-Management-System. - Study object: In SLcM the object that represents a person’s pursuit of one programme – with its own status, admission, re-registrations, progression and graduation. Two degrees mean two study objects. - Module booking: A person’s registration for a module or teaching event in an academic period. Booking checks run before the booking. - Booking check: A rule that allows or prevents a module booking, such as registration window, prerequisites, attempt limit, hold, credit limit, timetable clash and capacity. AcademyTailor runs all seven at once and shows every reason together. - Degree audit: The evaluation of which requirements of a programme a person has met, which are in progress and which are open – the basis for advising and graduation. - Hold: A flag on the record that blocks certain actions – such as booking with unpaid fees or graduation with missing documents. - Contract accounting (FI-CA): Contract Accounts Receivable and Payable in SAP: the subledger for high-volume receivables in which SAP-based universities manage tuition, payments and dunning. Formerly PSCD in the public sector. - Accounts receivable (FI-AR): Classic accounts receivable in SAP S/4HANA – for institutions that post fees without contract accounting. - Time slice: A version of master data with valid-from and valid-to. A change creates a new time slice instead of overwriting the old one – so you can always see what a curriculum looked like on a given date. - Official notice (Bescheid): A legally significant letter from a university, for example on admission, recognition or de-registration – in German-speaking countries with a template, archive and proof of delivery. - Clean core: The principle of leaving the SAP ERP core unmodified and building extensions beside it – for example on SAP BTP. That keeps upgrades simple and costs predictable. - SAP BTP: SAP Business Technology Platform: SAP’s cloud platform for applications, integration, data and AI beside the ERP. - SAP CAP: SAP Cloud Application Programming Model: SAP’s framework for business applications on SAP BTP, with CDS data models and OData services. - MTX and HDI container: MTX is SAP CAP’s multi-tenancy. Each tenant gets its own HDI container in SAP HANA Cloud – institutions’ data is separated in the database. - IAS and AMS: SAP Cloud Identity Services – Identity Authentication (IAS) for sign-in and the Authorization Management Service (AMS) for roles and attributes as policies. - Destination and Cloud Connector: A destination describes on SAP BTP how a target system is reached; the SAP Cloud Connector securely connects BTP with systems in your own data centre. - SAP S/4HANA Cloud Private Edition: SAP S/4HANA as a cloud subscription in a dedicated system landscape, usually as part of RISE with SAP. SAP Student Lifecycle Management is offered for it. - Verifiable credential: A digitally signed credential whose authenticity any recipient can check herself – without asking the issuer. The W3C standard is the Verifiable Credentials Data Model. - Learning management system (LMS): Software for course content, assignments and learning progress, such as Moodle, Canvas or SAP SuccessFactors Learning. Campus management keeps the record, the LMS runs the course – both sync rosters and grades. - Corporate academy: A company’s internal education with its own programme, exams and certificates – often with university-like requirements: registration, capacity, assessment, credential, recertification. - Flywheel: A loop that reinforces itself. At AcademyTailor, the lifecycle: whoever is well attracted, supported and credentialed comes back as alumni and lifelong learner – every turn feeds the next with data and people. ## Pages - [Home](https://www.academytailor.com/en) - [Flywheel – interactive graphic with seven flows](https://www.academytailor.com/en/flywheel) - [All features with status](https://www.academytailor.com/en/features) - [For SAP customers: BTP, S/4HANA, clean core](https://www.academytailor.com/en/sap) - [Comparison with 21 solutions, sources and market maps](https://www.academytailor.com/en/comparison) - [Migration from SLcM in stages](https://www.academytailor.com/en/migration) - [Our ambition](https://www.academytailor.com/en/ambition) - [For universities](https://www.academytailor.com/en/for/universities) - [For corporate academies](https://www.academytailor.com/en/for/corporate-academies) - [For continuing education and private universities](https://www.academytailor.com/en/for/continuing-education) - [Glossary](https://www.academytailor.com/en/glossary) - [Story](https://www.academytailor.com/en/story) - [Sources](https://www.academytailor.com/en/sources) - [Intro call](https://www.academytailor.com/en/contact) - [Full text for language models](https://www.academytailor.com/llms-full.txt) ## Contact - Intro call (30 minutes, free, online or on site, worldwide): https://www.academytailor.com/en/contact – reply within one business day - Phone: +43 664 1964199 - E-mail: office@clouddna.at - Provider: CloudDNA GmbH, Untere Hauptstraße 23, 7410 Loipersdorf, Austria (VAT ATU72725928, FN 480760 a) - Languages: German, English ## How to cite - Please cite the respective AcademyTailor page (https://www.academytailor.com) as the source; content as of 2026-10-19.
